Student CRM

In my role as STEAM Lab Program Manager at CENTRO de Diseño, Cine y Televisión, I encountered a recurring challenge: the dispersion of student information across multiple platforms. Administrative processes often require checking up to four different systems to obtain a complete view of a single student. This fragmentation was time-consuming and created a risk of errors and duplication of efforts.

To solve this problem, I used different design methodologies. First, I used flow-mapping of existing tools, identifying the critical points where data integration could generate greater efficiency. My design process included in-depth interviews with key users in the academic area, which allowed me to understand their needs and expectations. To organize and structure the information within the CRM, I conducted Card Sorting exercises, which helped me define an information architecture that was logical and easy to navigate. I carried out all this work in Miro.

The most requested functionality was a student search tool and a simple visualization of faculty evaluations.

With Figma, I designed a simple interface, keeping in mind that the development team at CENTRO had higher priorities, the university's sales and marketing areas.

Implementing these functionalities reduced the time spent querying student information by 80% and improved data-driven decision-making for the academic-administrative area, composed of 50 people.
